In complex environments, understanding identity, context and actions is essential for effective strategy. Monitoring and evaluation (M&E), as an embedded function, supports nonprofits by providing information to navigate uncertainty. Asgar Bhikoo explains.
Monitoring offers disciplined data collection for accountability and decision-making. It provides feedback on programme results, helping organisations measure outcomes.
Evaluation is a systemic research process that collects evidence to support judgements about the merit, worth, or impact of programmes (or interventions). It is also used to document opportunities for improvement, capture lessons learnt and guide decision-making.
Key activities that assist nonprofits include:
- Theory of change: Developing (and reviewing an existing) ToC helps clarify purpose, encourages learning and explores factors influencing desired outcomes.
- Systems thinking: Mapping relationships and identifying actors enable organisations to recognise systemic influences, address challenges and solve problems. Tools such as the Systems Thinking Toolkit and the Systems Thinking Guide provide practical guidance.
- Stakeholder engagement and mapping: Understanding the participants being supported and reconnecting with stakeholders uncover community needs and the factors supporting outcomes. This is a fundamental aspect of determining the social value of nonprofit activities. It is also an important part of strategic planning and highlights how stakeholder groups benefit from engagement.
- Capacity building: Developing M&E expertise enables organisations to better respond to constituent needs. Leadership support and adequate resources are vital; participating in learning communities can further accelerate improvements. Examples of places where you can join learning communities, access training and find resources to support capacity building include: NASCEE, SAMEA, BetterEvaluation, Philanthropy University and the Acumen Academy.
- Leveraging technology: Integrating CRM tools and business intelligence platforms with M&E systems streamlines data sharing and decision-making. AI aids in analysis and insight generation. Nonprofits should train staff on AI tools and consider ethical use in their decision-making. Guides by SoPact and the MERL Tech Initiative provide useful insights.
Using these approaches, nonprofits can optimise practices, plan for present needs and prepare for uncertainty. Data systems and AI improve efficiency and support informed decisions.
